What we collect, what we do with it, and what we will never do with it. Written to be read rather than skimmed past.

Who we are

Caravan is an operating platform and a done-for-you service. We build a business's marketing engine and back office on one platform, migrate it across, and then run it every month.

Caravan is not a company in its own right. It is a venture of Babar Khan Ventures and is operated by Commodity Express LLC, a Texas company. Commodity Express LLC is the party you contract with, the party that bills you, and the party that holds the carrier registrations behind any message this platform sends. The same company trades as Commodity Distributor and as REDPartners, and it publishes a group privacy policy covering all of them. Where this policy and the group policy differ, this one is the more specific and it governs Caravan.

What this policy covers

Two different things, and it is worth separating them before anything else.

The first is information about you: what you send us through this website, what you tell us on a call, and what we hold about you as a client. For that information we decide what happens to it, so this policy is the one that applies.

The second is information about your customers, which you put into Caravan or which our team handles while running your marketing and your operations. That information is yours. We hold it and work on it under your instructions, and your own privacy policy is the one that applies to the people in it, not this one. The section below on client data says what that means in practice.

Information we collect from you

We collect only what you give us.

If you fill in one of the forms at the foot of this site, that is your name and contact details plus whatever you tell us about your business, your current tools and what you are trying to fix. If you book a call, it is the details you enter into the scheduler. If you email us, it is whatever is in the email.

If you become a client, it is the information needed to run the account and bill it: the people on your team who will use Caravan, your billing details, and the records of what we have done for you.

You should not send us government identification numbers, card numbers or passwords through this website. We do not ask for them here and there is no field on this site that wants one.

One thing worth being straight about, because it is true today and will not stay true: the intake forms on this site confirm in your browser and do not yet send anything anywhere. Nothing you type into them reaches us until they are connected to a delivery service, and this policy will say so before that happens. The booking scheduler is different. It is a Cal.com embed and it does transmit what you enter, to Cal.com and then to us.

Information we handle for our clients

This is the part that matters most if you are a Caravan client, because it is the part that is unusual about a done-for-you service.

Running your marketing means our operators work inside your account, on your contact records, your pipelines and your campaigns. We handle that data on your behalf and on your instructions. We do not use it to market to your customers on our own account, we do not merge it into anything of our own, we do not sell it, and we do not use it to train anything. It stays yours, and if you leave you take it with you.

You remain responsible for having the right to hold that data and for having collected the consent that any message sent to it requires. The Terms of Service set out what that means, and it is not a formality. When a marketing email or a text goes out from your account, you are the sender in the eyes of the law, not us.

Text messages

Caravan sends text messages in two situations, and they are governed differently.

Messages we send you. If you give us your mobile number and ask us to text you, we will text you about the thing you asked about: a call you booked, an account you run with us, or an onboarding in progress. Asking for texts is never a condition of booking a call, of buying anything, or of any part of the service. Everything we would text you, we will also send by email. Message frequency varies with what is happening on your account. Message and data rates may apply. Reply STOP to any message to end them and HELP for help. Stopping the texts changes nothing else about your account or your booking. Delivery depends on your mobile carrier, which we do not control, and carriers are not liable for delayed or undelivered messages.

Messages your account sends. When Caravan sends a text on your behalf to one of your customers, you are the sender. You are responsible for the consent behind it and for honouring every opt-out, and the platform records and honours those opt-outs. Consent that your customer gave you is consent to hear from you, and it is never treated as consent to hear from us or from anyone else.

And the part that governs both:

We do not share, sell, or provide mobile phone numbers or text messaging consent data to third parties or affiliates for marketing or promotional purposes. No mobile information is shared with third parties or affiliates for marketing or promotional purposes under any circumstance. This overrides everything else on this page. The advisors, partners and service providers described below never receive mobile numbers or opt-in records. The only third party that ever handles them is the licensed messaging provider that carries a message to the handset on our behalf, and it may not use them for anything else.

Commodity Express LLC operates this messaging programme and holds its carrier registration. The company publishes the same disclosures in its group privacy policy.

Email

If you give us your email address we will use it to answer you, to run your account, and to tell you things about the service you are paying for. If we send you marketing email, every message carries a way to unsubscribe and we honour it promptly. Unsubscribing from marketing does not stop the emails we have to send you to operate your account.

Marketing email sent from your own Caravan account to your own contacts is yours, and the same allocation applies as with texts. You are the sender.

How we use what we collect

To answer you. To work out whether we can help and what it would cost. To build, migrate and run what you have paid us to run. To bill you. To keep the service working, secure and improving. To meet our legal and accounting obligations.

We do not sell your information. We do not provide it to anyone else for their own marketing.

Who else sees it

The people at Commodity Express LLC who need it to do the work.

Service providers who run parts of the platform under contract with us: hosting, payment processing, email and message delivery, scheduling, and the tools our operators use to do the job. They may use what they receive only to provide that service to us, and no further.

Professional advisors, and anyone we are legally required to disclose to, where that obligation is real.

If the business is ever sold or reorganised, the information may transfer with it. It stays subject to a policy no weaker than this one.

Cookies and what this site stores

This site sets no advertising cookies, no tracking cookies and no analytics of any kind. There is nothing here counting you.

It stores one thing in your own browser: whether you chose the light or the dark theme. That never leaves your device and we never see it.

Two third parties do see that you loaded a page, because the page asks your browser to fetch things from them. Google Fonts serves the two typefaces the site uses, and Cal.com serves the booking scheduler when you open it. Both receive your IP address as part of any ordinary web request, and both have their own privacy policies. If we add analytics later, this section will change before that goes live and not after.

How long we keep things

Enquiries and correspondence: for as long as there is a live or reasonably foreseeable business relationship, and after that for as long as our records and legal obligations require.

Client account data: for as long as you are a client. What happens when you leave is in the Terms of Service.

Records that prove someone opted in or out of messages: for as long as we need them to honour that choice and to show that we did.

Your choices and your rights

You can ask us what we hold about you, ask us to correct it, ask us for a copy of it, or ask us to delete it. You can tell us to stop marketing to you, and you can stop texts at any time by replying STOP.

Depending on where you live you may have these rights formally, under the UK and EU GDPR, the California Consumer Privacy Act, or another state privacy law. We apply them to everyone who asks rather than checking your address first. We will not treat you worse for exercising any of them, and we will not charge you for it. Write to us and we will respond.

If you are one of our clients' customers rather than one of our clients, we will pass your request to the client whose account holds your data, because it is theirs to answer and their policy that governs it. Tell us and we will route it.

Security

We protect what we hold with measures appropriate to what it is: encrypted connections, access limited to the people who need it, and the security controls of the reputable providers we build on.

We are not going to tell you that our systems cannot be broken into, because no one can honestly tell you that about any system. What we can tell you is that we take it seriously and that if something happens which affects your information, we will tell you and the regulators we are required to tell.

Children

Caravan is a business product and it is not for children. We do not knowingly collect information from anyone under 16. If you believe a child has given us information, tell us and we will delete it.

Where your information is handled

We are a Texas company and we handle information in the United States. If you are outside the United States, using this site or this service means your information is handled there, where privacy law differs from your own.

Changes to this policy

We will post any change on this page and move the date at the top. If a change materially affects information you have already given us, we will tell you directly where we have a way to reach you. Changes are never applied backwards to make something we already did acceptable.
